Overview:
This guide explains how to update the record view settings for an existing Overtime or TOIL type, controlling who can see records and descriptions in reports and calendars.
How Record View Settings Work:
Each Overtime or TOIL type has Can view in record and Can view description in record options.
- Can view in record determines which roles can see the existence of the record.
- Can view description in record controls whether the details entered by the user are visible to those roles.
Adjusting these settings ensures sensitive information is only visible to appropriate staff.
How to Set Up Record View Settings for an Overtime/TOIL Type:
- Go to Admin tools > Admin panel > Global > Overtime and TOIL Types.
- Locate the type you wish to update and click Edit on its row.
- Scroll to the Record View Settings section.
- Set Can view in record to the roles (e.g. Authorisers, Managers) who should see the record.
- Set Can view description in record to control who sees the user’s notes or comments.
- Click Save at the top of the page.

Can view in record: Grants visibility of the record’s existence.
Can view description in record: Grants visibility of the record’s descriptive fields.

Tip: Restrict description visibility if notes contain sensitive details.
