User Import/Export - Exporting data

Who this guide is for: System administrators – Requires 'System Admin' role and Users permission

Overview:
This guide explains how to export user data using the User Import/Export Tool in edays. This tool allows you to download selected user data in bulk via CSV, saving time on manual profile edits and supporting offline updates.

How the User Import/Export Tool Works:
The User Import/Export Tool enables admins to export selected user data fields into a CSV file. You can use this for reporting or as a template for making edits before reimporting updates into the system.

How to Export User Data in Bulk:
Step 1: Access the Tool

  1. Go to Admin Tools > Admin Panel.
  2. Navigate to Users > User Import / Export.


Step 2: Configure Export Settings
Identify Users

  • User Identifier: Choose how edays identifies users (e.g. User Login). This will be the first column in the export and must not be edited when reimporting.

Select Fields to Export
Tick one or more field groups:

  • Personal – Name, contact info, etc.
  • System – Roles, permissions, login settings.
  • Organisation – Team, location, template, etc.

Additional Settings

  • Field Delimiter: Choose how multi-value fields (e.g. multiple teams) are separated (e.g. Comma is recommended).
  • Add Apostrophe to Leading Zeroes: Tick this if you’re exporting fields like Employee ID or Payroll ID that may begin with a zero—this prevents Excel from truncating those values.



Step 3: Select Users to Include
You can filter or target specific users in several ways:

  • Specify Groups – Select by group types like Country, Team, or Location.
  • Specify User Templates – Include all users from a particular template.
  • Include Reportees / Leavers – Tick these boxes if you want your direct reports or users marked as leavers included.
  • Specify Individuals – Search and add specific users manually.

You’ll see a live list of selected users—you can remove any if needed before exporting.


Step 4: Export the File
Once your configuration is complete:

  • Click Export to download the user data as a CSV file.

You can now open this file to review or make updates before reimporting (if required).

Additional Information:

  • User Identifier must remain unchanged in the CSV if you're planning to reimport.
  • Requires 'System Admin' role and Users permission.
  • Tip: Use filters to reduce the file size and focus your export on only relevant users.
  • Export is ideal for bulk user audits or off-platform edits.
  • Use the search function within the platform to quickly find features or settings.
