Bulk User Update - User views

Who this guide is for: System administrators – Requires 'System Admin' role and Bulk User Update and Users permissions

Overview:
This guide explains how to use the Bulk User Update tool in edays to set or change User Views for multiple users at once. This is useful when you want to control what parts of the system users can see without updating profiles individually.

How Bulk User View Updates Work:
The User View controls which records a user can see in areas such as the admin panel, calendars, reporting, staff records, and the directory. Updating this in bulk ensures consistency across multiple users quickly.

How to Set User Views in Bulk
Step 1: Access the Bulk User Update Tool

  1. Go to Admin Tools > Admin Panel.
  2. Navigate to Users > Bulk User Update.


Step 2: Configure the User View Update

  1. Under What would you like to update?, set Category of Data to Update to User View.
  2. Select the User View type you want to update:
    • Admin
    • Calendar
    • Reporting
    • Staff Records
    • Directory
  3. Choose the view to apply:
    • My Record
    • Reportees
    • Everyone
    • Custom
    • Direct Reportees
  4. If you selected Custom, choose the relevant custom view from the list.


Step 3: Select the Users to Update
You can include users by:

  • Specify Groups – Filter by Country, Location, Team, or other group types.
  • Specify User Templates – Include all users from a specific template.
  • Include Reportees and Leavers – Tick these boxes to include your reportees and/or leavers.
  • Specify Individuals – Search for users by name and click Add.
  • Review the List – Remove any individuals you do not wish to update.


Step 4: Apply the Update

  1. Review your selections and details.
  2. Click Update Users to apply the changes.


Additional Information:

  • Requires 'System Admin' role, Bulk User Update permission, and Users permission.
  • Best practice: Make changes in small batches first to confirm the settings work as expected.
  • Updating User Views in bulk will overwrite existing settings for those users.
  • Use the search function within the platform to quickly find features or settings.
