Rota Setup - Adding a new hours rota pattern

Overview
This guide explains how to create precise hours-based rota patterns with custom start/end times and durations that integrate with hour-based absence types.


How Hours-Based Rota Patterns Work
These patterns allow minute-accurate shift scheduling, with booking functionality that aligns with the configured working hours and absence types.


How to Set Up Hours-Based Rota Patterns

  1. Navigate to Admin > Calendar elements > Rota patterns
  2. Click + Add rota
  3. Enter a clear name for the rota pattern (description optional)
  4. Select the pattern type:
    • Weekly Pattern for regular weekly rotations
    • Daily Pattern for daily rotations
  5. Apply the number of weeks or days included in the pattern
  6. Configure the Calendar Day View timeframe
  7. For each working day:
    • Select Hours as the day type
    • Click + Add
    • Either drag the time bar to set the exact working period, or enter the start and end times manually
  8. Repeat for all required days in the pattern
  9. Set each non-working day accordingly
  10. Click Save at the top of the page to confirm the rota pattern


Using the Copy Hours Feature
Did you know you can use the Copy hours tool to make rota pattern setup faster and more consistent?

  • Once you’ve set the required time(s) and duration(s) for a day, click Copy hours
  • Navigate to any day where the same configuration should apply and click Paste hours
  • If you need to copy a different setup, or amend shifts, click Stop copying before repeating the process

    • Calendar Day View = How the rota displays within the user’s calendar
