Overview
This guide explains how to configure absence type settings (e.g., Business Trip) for user templates, including restrictions on editable fields.
How Absence Type Settings Work
Template-level absence settings allow customisation of absence behaviours (e.g., time units, attachment rules) for specific user groups. Key restrictions:
- Name, and Affected entitlements can only be modified at the Global level
- Template settings override Global configurations for other fields
How to Set Up Absence Type Settings
- Navigate: Go to Templates → Select your template.
- Edit Template: Click Edit (top-right).
- Access Absence Types: Select the Absence Types tab.
- Find Absence Type: Search or browse for the type (e.g., "Business Trip").
- Edit Settings: Click Edit next to the absence type.
- Configure Fields:
- ⚠️ Name/Affected entitlements: Read-only (modify via Global > Absence Types)
- Time unit: Days/Hours (default: Inherited)
- Enforce reason/details capture: Yes/No/Inherited
- Defined reasons: Add custom options (e.g., "Client Meeting", "Conference")
- Save: Click Save Template (top of page).

- User Templates permission in your role
Tips
- Global vs. Template:
- Edit Name/Affected entitlements only via Global > Absence Types
- All other fields editable here override Global settings
- Bulk Setup: Use identical settings for similar absence types (e.g., "Training" and "Conference")
- Use Search: Find templates/absence types instantly via the search bar
- Test First: Apply changes to a small test group before full rollout
