Setting template minimum/maximum notice period restrictions for an absence type

This guide explains how to set minimum and maximum notice periods for absence types at the template level, controlling when users can request specific types of leave.


How Notice Periods Work


Notice periods:

  • Minimum Notice: How far in advance an absence must be requested
  • Maximum Notice: How early an absence can be requested
    These settings help manage workforce planning and ensure appropriate notice for different leave types (e.g., sabbaticals vs sick leave).


How to Configure Notice Periods

  1. Access Template Settings
    • Navigate to Admin Tools > Admin Panel
    • Go to Templates > User Templates
    • Locate your template and click the blue Edit button
  2. Open Absence Type Settings
    • Select the Absence Types tab
    • Find the relevant absence type (e.g., "Career Breaks/Sabbaticals") either by:
      • Browsing the list
      • Using the search filter at the top
    • Click the blue Edit button
  3. Configure Notice Periods
    • Scroll to the Min/Max Settings section
    • Set values (in days) for:
      • Minimum Notice Period: E.g., "14" for 2-week advance notice
      • Maximum Notice Period: E.g., "365" for 1-year planning limit
    • (Optional) Adjust other restrictions like minimum/maximum absence length
  4. Save Changes
    • Review all settings
    • Click the orange Save button at the bottom

Key Impacts

  • Users won't be able to request leave outside these notice windows
  • Existing bookings aren't affected by changes to notice periods

Permissions Required

  • "User Templates" access

Best Practices

  • Set longer notice for extended leaves (e.g., sabbaticals)
  • Keep sick leave with minimal/no notice requirements
  • Communicate policy changes to users

Important Notes

  • Settings apply to all users assigned to the template
  • Inherited values can be overridden at user level if needed
